The Associate Director of Catering & Convention Services, Manager would be responsible for executing written sales agreements for full-service meetings, conventions and events along with the successful execution of such events in the Hotel’s continuing effort to deliver outstanding guest service and financial profitability.The position will also support the DOCCS in leadership responsibilities of the team.Communication and organizational skills are of the utmost importance.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
Effectively communicate to all departments the information necessary to successfully execute the group's needs and manage expectations while maintaining a good client relationship
Execute- written sales agreements for full-service meetings, conventions and events with up to 400 peak room nights
Negotiate catering/banquet sales(Food/Beverage/AV/Ancillary Revenues)to meet / exceed departmental revenue goals
Negotiate terms and pricing of vendor partner agreements and service agreements with companies and organizations affiliated with group business
Provides project leadership and project management as assigned
Complete banquet orders to ensure efficient setup and flawless execution, internal and external
Meets twice weekly on all Banquet Events Orders and updates as needed
Ensure that convention specifications are communicated and executed for a successful meeting experience for the meeting planner and attendees
Maintain relationships among the customers, their representatives and the hotel to ensure full participation in servicing accounts
Initiate verbal and written communication with customers and hotel departments outlining details and specifics of the event including, but not limited to, payment structure, room block management, food and beverage, public room rental, exhibit fees, incremental and affiliate revenue streams, performance damages and master billing process
Partner with operations departments
Monitor and develop team member performance to include, but not limited to, providing supervision and professional development, conducting counseling and evaluations and delivering recognition and reward
Monitor and assess service and satisfaction trends, evaluate and address issues and make improvements accordingly
Assist in the recruitment, interview and training of team members
Monitor and manage room blocks according to contract utilizing group history reports and information given by clients to maximize hotel revenue, making adjustments as necessary
Review sales contracts as well as other important information, i.e., room block, cut-off date, special concessions and attrition clauses and validate with client via turnover letter

Monitor and enforce program deadline dates and work with clients to release meeting space not needed to maximize hotel revenues
Produce and distribute convention resume according to departmental standards prior to the first day of main group arrival and communicate any changes and updated information to hotel departments
Monitoring billing, deposit schedule and review billing. Arrange and lead pre/post-convention meetings

Directly supervises 8-10 employees in Catering Sales & Convention/Event Services. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Education and/or Experience
Minimum of Bachelor's degree from four-year College or University; and three to five years related experience and/or training.
Prior Catering & Convention Services experience or training.Ability to effectively train.Able to analyze reports and deem necessary conclusions for implementation and planning.Well-groomed and well organized.Able to effectively sell and close business opportunities and train others to do the same.Able to handle stress and work independently, self-motivated.
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.Ability to write routine reports and correspondence.Ability to speak effectively before groups of customers or employees of organization.
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions and percentages.
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
