The primary purpose of the Program Manager, Academic Affairs position is to help ensure that all graduate medical education (GME) programs maintain current knowledge of and are in compliance with ACGME Institutional and Program Requirements, and with MD Anderson institutional requirements.

The Program Manager, Academic Affairs shares responsibility in shaping the development and maintenance of GME and academic policies and procedures, assists with the institution's internal review schedule and process, provides guidance and support to the GME House Staff Senate, and facilitates educational and networking activities that strengthen relationship-building efforts amongst current MD Anderson clinical trainees. The position provides essential and required communication to program coordinators, program directors, residents/fellows, and the GME Committee. In addition, special projects are an important portion of this position and many of those projects are requested by the Director and Associate Director, GME Office. The Program Manager, Academic Affairs also performs other related duties.

Function #1:Human Resource Management

. Consultant to GME Academic Coordinators on issues related to trainee appointments and other program-related matters. Consults with the Director and Associate Director, GME Programs on more difficult issues.

. Provides leadership, direction, ongoing feedback, and development support to the GME program coordinators and organizes workshops/meetings.

. Compiles and updates the GME Trainee, Program Coordinator, and Program Director policy manuals

. Sets the agenda and directs the work flow of the House Staff Senate to ensure goals of the council are met.

Function #2:Accreditation and Compliance

. Ensures timely renewals of TMB approved program applications to the Texas Medical Board.

. Creates new program applications, ensures submission to the Texas Medical Board, and monitors status of pending applications.

. Possesses knowledge of ACGME Institutional and Common Program Requirements.

. Manages requests for changes in program structure (i.e. program complement, program length, additions or deletions of participating institutions.

. Writes documentation of procedures and guidelines; maintains proper and complete documentation

. Reviews and analyzes policies and guidelines and helps to identify solutions or changes to institutional policy and/or make appropriate referrals.

. Plans, implements and reviews initiatives and programs to accomplish strategic goals of the institution; facilitates short- and long-term strategic plans.

. Provides assistance in the development, negotiation, documentation, execution and modification of education affiliation/program/financial agreements.

. Administers and monitors Risk Management Education (RME) compliance for full time GME fellows and residents.

Function #3:Data Management

.Provides data for the GME Annual Report.

. Assists with the maintenance of the institutional trainee database.

. Assists program coordinators with data management requirements in New Innovations.

Works with the IT Manager to provide innovation in expanding the use of information technology in accordance with the needs and objectives of the training programs.

. Maintains the Department of Medical Education external and internal websites and the individual GME training program pages; ensures the websites contain current and accurate information.

. Monitors New Innovations for resident and fellow case logs, conferences, and duty hours; produces reports.

Function #4:House Staff and House Staff Senate

.Presides over the annual House Staff Senate election process.

.Assists in the planning of the annual Orientation program for incoming fellows and residents.

.Coordinates the Breakfast with the DIO events.

.Serves as a non-voting member of the House Staff Senate; coordinates minutes and agendas; attends regularly scheduled meetings.

.Provides oversight of the House Staff Senate forums/events/meetings.

.Coordinates House Staff Senate special events and activities.

Function #5: Clinical Health Education Professions (CHEP)

. In collaboration with the Director, Associate Director, and Clinical Health Education executive leaders, will facilitate short- and long-term strategic plans and implementation for the health profession programs. 

. Ensures administrative support compliance with regulatory and institutional business standards

. Provides updates to CHEP communications and website.  

. Coordinates CHEP minutes and agendas; attends regularly scheduled meetings.

. Maintain distribution list for CHEP trainees, Program Coordinators, and Program Directors.

Function #6:Special Events

. Coordinate the events held during annual Clinical Education Week.

. Oversees the Clinical Education Awards Program.

Function #7:Other Duties

. Serves as a member of the Wellness, Diversity, House Staff Senate, and Clinical Health Education Professions (CHEP) Committees; attends regularly scheduled meetings

. Serves as a department representative on the Educational Week Committee; attends regularly scheduled meetings

. Supports OGME participation in annual institutional Trainee Research Day event

. Special projects as assigned


Required: Bachelor's degree in Business Administration, Marketing, Communications or related field. 

Preferred: Master's or advanced degree in Business Administration, Educational Administration, or related field.


Required: Five years of project/program management or educational program recruitment experience. May substitute required education degree with additional years of equivalent experience.

Preferred: Three years of experience in Graduate Medical Education. 

Familiarity with ACGME, AAMC, and other accrediting and regulatory bodies that affect resident and fellow education and training. Background in Accounting/Finance. Proficient with data management and office software programs (excel, word, power point, access, New Innovations, Documentum, etc.), and web-based networking and media technologies.
