Proskauer is a large international law firm which provides a wide variety of legal services to clients around the world from offices in New York, Los Angeles, Chicago, Washington, D.C., Boston, Boca Raton, New Orleans, Paris, London, Sao Paulo, Hong Kong and Beijing.  


The Senior Payroll Specialist will work with the payroll team to ensure Firm employees are processed in an accurate, compliant, and timely manner utilizing technological solutions.  


Specific responsibilities include, but are not limited to:



  • Prepare and process payroll in an accurate, compliant, and timely manner

  • Act as a subject matter expert and/or resource to others in the area of payroll processing

  • Understand and perform all phases of the payroll process for US and Global pay group

  • Process special transactions (e.g. retroactive pay, mid-period increases, and garnishments) 

  • Load import files from multiple departments as it pertains to payroll changes

  • Create practices to minimize company risk pertaining to payroll tax compliance by country

  • Understand and keep abreast of the current tax requirements, including state and federal tax withholdings

  • Use Payroll system report writer for the timely preparation of Payroll information reports requested by different departments (includes payroll reports of earnings, hours worked, taxes, insurance, leave, 401k, etc.) 

  • Assist with ongoing set up, testing and maintenance of the payroll, HRIS and timekeeping systems

  • Preserve documentation to support payroll transactions and ensure that approved transactions are processed; follow up on missing items to ensure compliance

  • Research and interpret a variety of complex technical information in response to inquiries.

  • Generate reports for accounting, human resources, and other departments to use for analytics.

  • File payroll reports and documentation ensuring it can be easily retrieved for review and audit

  • Recommend or participate in the development of new procedures and policies related to payroll operations; update affected policy/procedure manuals 

  • Create and maintain Standard Operating Procedures/Check-lists and ensures that policies and procedures are being adhered to (i. e. salary increases, bonus payouts and other compensation transactions) 

  • Provide backup support during staff absences

  • Assists in payroll general ledger accounts reconciliations

  • Utilize firm software, such as MS Excel, to enter and format numerical data using formulas that can be cross-checked by the Payroll Manager; and create and save such worksheets, charts, and graphs

  • Maintain employee confidence and protects payroll operations by keeping information confidentia

  • Support the Payroll Manager in resolving payroll production issue


Qualifications



  • Undergraduate degree and equivalent experience required

  • Minimum of 5+ years of experience strongly preferred

  • Proficiency in MS Excel, MS Office, and ADP required.Experience with Oracle Fusion and ADP Streamline a plus

  • General knowledge of employee benefits and employment practices preferred. Knowledge of FMLA, ADA, overtime laws, leave of absence laws, 401K, and Worker’s Compensation, as it applies to payroll administration, a plus

  • Knowledge of domestic payroll calculation, processing and accounting practices

  • Ability to work well in a fast-paced environment while prioritizing varied workloads to meet different deadlines

  • Ability to communicate effectively with lawyers, professional level staff, and peers; well-organized, and has a good sense of how to prioritize

  • Passionate about improving processes and developing innovative solutions

  • Willingness to work collaboratively as a member of a team with a positive attitude

  • Ability to complete simultaneous projects with minimal supervision

  • High level of attention to detail and meticulous follow through with a high level of client service

  • Flexibility to adjust work schedule according to workload demands
